Printing a Packing List¶
Purpose¶
It builds and prints the packing list for a booking.
Who does this¶
Packing staff who produce the document that travels with a load.
Before you start¶
- You have the right account (see Permissions and Access).
- The record and date you are working on are correct.
- Words you do not know are in the Glossary.
Access¶
Open the booking, then Packing List
Before you open it¶
Check the booking has:
- the outbound order behind it
- the container or equipment
- the seal number
- the commodity and order lines
If the container is missing, stop. The packing list cannot be produced for a container that is not there, and the screen will not tell you why.
Choosing what goes on it¶
You can print for all the containers on the booking, or for one specific one.
Check which one you are printing. If any container on the booking is missing its commodity information, the whole document changes to a blank fallback — every line, not just that container's.
After it opens, confirm it shows the booking, the container, the sales order and the rows you expect.
Checking the content¶
Compare the document against the current records:
- quantities, weights and units
- rates
- both parties
- ports and terms
- dates
Some text on this screen can be typed into, and it will not save. The fixed terms and ports, and anything you type into the notes area, are for printing only. If what you see is wrong, correct it on the order or the booking — not on this screen, and not by editing the printed text.
If a rate is wrong, correct it first and confirm it saved, then reopen — see Correcting a Rate on a Packing List.
Printing¶
Print from the browser.
Nothing is recorded when you print. Not the fact that it printed, not a copy, not that it was handed over. If you need evidence that it went out, keep your own. Where those copies should be kept has not been decided, so follow your team's practice and do not assume the system has it.
If something goes wrong¶
| Situation | What you do |
|---|---|
| The packing list will not open | The booking or container is not found. Recheck the links. Do not fill in a row yourself. |
| The document is blank or shows zeros | One of the containers is missing its commodity information. Check every container on the booking. |
| Terms or ports are wrong | Correct them on the booking or order. Editing this screen does not save. |
| My typing did not save | Expected. It is for printing only. Change the source record. |
| A rate is wrong | Correct and confirm the rate, then reopen this screen before printing. |
| I printed but there is no record | Expected. Keep your own copy. |
| I need to prove it was sent | There is no system evidence of that. Keep your own. |
Who owns the next step¶
Packing staff own the document. The booking and rates belong to the booking and order owners — see Printing a Booking Confirmation and The working day, step by step.
