Correcting a Rate on a Packing List¶
Purpose¶
It changes the rate on one line of a packing list invoice. It does not change the amount, the booking, the order, or anything to do with accounting.
Who does this¶
Packing and booking staff who find a wrong rate on a packing list and need to fix it.
Before you start¶
- You have the right account (see Permissions and Access).
- The record and date you are working on are correct.
- Words you do not know are in the Glossary.
Access¶
Open the booking, then Packing List > Invoice
Before you change anything¶
Write down, for the line you are about to fix:
- the booking reference
- the line and what is on it
- the rate as it is displayed now
- where that rate came from
If you cannot tell what the correct rate should be, or you cannot identify the line exactly, stop. A correction made against the wrong line is harder to find than the original mistake.
Making the change¶
- Click into the rate field on the intended line and type the correct figure.
- Click outside the field to leave it.
Only the rate saves when you leave the field. This screen has no save button for this, and no message telling you it worked.
The amount field does not save. You can type in it and it will look changed, but it is discarded when you reload. Do not rely on it, and do not try to fix a total by editing the amount.
Checking it worked¶
Because there is no confirmation message, you must check it yourself:
- Reload the packing list and check the rate on that line.
- Open the source order and check the rate there too.
- Check that only the line you meant to change has changed.
A successful save can still be a partial result. Rows that do not belong to this booking, this order, or your company are quietly skipped without an error. So the screen can look fine while some of your changes did not apply. Check each line you meant to change, one by one.
Two people at once¶
There is no protection against two people editing the same line. The last save wins.
If the rate you just set does not match what you typed, someone else may have changed it in between. Reload and establish what is actually there before changing it again.
Putting it back¶
If you set a rate wrongly, type the original rate back and leave the field, the same way.
There is no history of who changed what, so the original figure has to come from the note you made before you started. If you did not record it and the value is now ambiguous, stop and ask rather than guessing.
If something goes wrong¶
| Situation | What you do |
|---|---|
| I typed a new rate and nothing happened | Leave the field by clicking elsewhere. Then reload and check. |
| The amount will not stay changed | That field does not save. Correct the rate instead. |
| There is no confirmation message | There never is. Reload and verify. |
| Some lines changed and others did not | Rows that do not match this booking are skipped silently. Check each intended line. |
| The rate does not match what I typed | Someone else may have saved after you. Reload and check before retrying. |
| A zero or negative rate saved | The screen does not block it. Correct it and report it. |
| I do not know what the rate should have been | Stop and ask. Do not guess a rate. |
| I need the original rate to undo | Use the figure you recorded before starting. There is no history to recover it from. |
Who owns the next step¶
Packing staff own the rate on the packing list. Anything affecting the order, the amount, invoicing or accounting belongs to accounting and the order owner — see The working day, step by step.
