Adjusting Bale Stock¶
Purpose¶
It records why the stock figures changed, in a way that can be traced later. Every change here is kept as evidence with who did it and when — nothing is quietly overwritten.
Who does this¶
Warehouse and inventory staff who correct stock when what happened on the ground differs from what the records expected.
Before you start¶
- You have the right account (see Permissions and Access).
- The record and date you are working on are correct.
- Words you do not know are in the Glossary.
Access¶
Report > Inventory Adjustment
Nothing on this screen confirms a review. You make the stock correct here; the review is confirmed on the review screen, and only when it is ready.
The five things you can do here¶
| You want to | Use | Because |
|---|---|---|
| Account for more bales than expected | Extra source | Takes stock from an existing lot, so where it came from stays visible |
| Account for fewer bales than expected | Create leftover | Records what is actually left, where it really is |
| Correct a count you got wrong | Count check | Records the correction as evidence |
| Move stock to another place | Relocate | Moves it physically without changing what it is |
| Undo a movement you should not have made | Void / reverse | Reverses it but keeps both entries visible |
There is also mark spare, which reinterprets an eligible unloaded lot as spare stock. It does not create a second lot and it keeps the balance and the location.
More bales than expected¶
- Carry across the load, the customer and the commodity from the review.
- Select the eligible source lot.
- Apply the exact quantity and weight needed.
- Reopen the lot and check the balance, then check the review again.
You cannot take more than the lot actually holds, and if you pick several lots they must add up to the total needed — otherwise nothing is applied.
Fewer bales than expected¶
- Carry across the load, the customer and the commodity.
- Create the leftover at the actual location — where it really is, not where it should have been.
- Check the lot, the history and the placement.
- Check the review again.
Moving stock to another place¶
Relocating moves a lot from one warehouse location to another. It changes where it is and nothing else — not the quantity, the weight, who owns it, the commodity, or what it was allocated to.
- Check where the lot is right now.
- Choose the new location. It must be a real, usable spot — not the same spot, not an occupied one, and not a fire lane.
- Save, then reload and check the lot is at the new place with the same balance.
If it refuses because the location information is out of date, reload to get the current position and try again. Do not keep submitting the same request.
Reversing a movement¶
If a movement should not have happened, void it.
The original entry is not deleted. A reversing entry is added, and the reversed movement stops counting towards what the review and the tracking expect.
This is why voiding is safe: nothing disappears from the record.
Before you correct anything¶
If the review has already been confirmed, it must be reopened first. Stock corrections against a confirmed review will not go through, and that is deliberate — the sign-off already happened on the old figures.
Check whether the review is confirmed before you start.
What you cannot do here¶
- You cannot use this screen as a general way of moving stock between loads. The leftover-load option is only for a recognised leftover.
- Manual stock creation is only for approved opening or legacy balances, not a way around the normal source selection.
- You cannot confirm or reopen the review from here.
- A review's own special instructions are not read as authority to change stock or locations.
If something goes wrong¶
| Situation | What you do |
|---|---|
| It will not let me take the quantity I need | The lot does not hold that much. Check the balance and pick a different lot. |
| I picked several lots and nothing applied | They did not add up to the total needed. Check the arithmetic. |
| The leftover will not save | The location is not valid. It must be a real, approved, current location. |
| Relocate refuses the target | Same spot, occupied, invalid, or a fire lane. Or the position is out of date — reload first. |
| I cannot correct after confirming | The review is confirmed. Reopen it first. |
| The review still says ACTION REQUIRED | The stock change did not reconcile. Reload the lot and the ledger and check the figures. |
| I voided the wrong thing | Report it. Do not try to correct it by hand — the reversal has to stay traceable. |
Who owns the next step¶
Inventory adjustment owns the stock figures and their evidence. The reviewer owns the sign-off, and the warehouse owns the physical location — see Reviewing a Load of Bales and Reading the Warehouse Map.
