Printing a Booking Confirmation

Purpose

It produces the current version of the confirmation as a printable page.

Who does this

MK shipping staff who send the shipping instruction and booking confirmation to the customer or the carrier.

Before you start

  • You have the right account (see Permissions and Access).
  • The record and date you are working on are correct.
  • Words you do not know are in the Glossary.

Access

Open the booking, then Booking Confirmation.

Before you print

  1. Open the booking and check the parties, terminals, vessel and dates, ports, commodity, container counts and notes.
  2. If a sales order is linked, check it separately. If nothing is linked, check that is intended.
  3. Open the confirmation and compare every value on it with the booking.
  4. Check the sales or purchase order reference shown on the document.
  5. Check the title and the fixed wording at the bottom are the ones you want to send.

The booking's own remark and special instruction are not printed. If the customer needs to see them, send them separately.

Printing

  1. Confirm the printer and the destination.
  2. Print.
  3. Keep the printed copy with the booking's paperwork.

If something goes wrong

Situation What you do
A value on the printout is wrong Stop. Fix the booking, the sales order or the company record, then open the confirmation again. Do not correct it on the printout.
The reference shown is wrong Fix the source record first. Printing again with a wrong reference sends a wrong document.
The template or letterhead is wrong Stop sending it. Report it to whoever owns the template.
The print result is unclear Check the printer, then decide whether a reprint is needed.
The booking changed after you printed The copy you hold is no longer current. Reopen the confirmation and reprint if the customer needs the newer one.

Who owns the next step

MK shipping staff own the document. The booking itself stays the source of truth — see How to create or change a Booking. Paperwork that must be filed or emailed is a separate job.
