Earlier billing procedure

Current screen: AR Billing.

Purpose

Billing a container's receivables and getting the invoice into the accounts system.

This is an index, not a screen. AR billing is done on two screens — Billing Presets and AR Billing. Use the table below to find the one you need.

Access

Accounting → Billing Presets Accounting → AR Billing

Screen

The two screens have their own pages, with their own screenshots:

Page The screen
Billing Presets The saved charge rules per customer
AR Billing The billable rows, the invoice lines, and the Complete action
Sending an Invoice to QuickBooks Online Not a separate screen — delivery is part of AR Billing
AR Billing Corrections Not a separate screen — corrections happen where the invoice lives
Trade Summary Whether a deal adds up

Steps

The whole flow in one line

  1. Prepare the presets for the customer — Billing Presets
  2. Filter AR Billing by date, customer, booking or container — it reloads by itself
  3. Review the selected rows and the lines that will become the invoice
  4. Complete — which commits the invoice and immediately attempts delivery
  5. Check the result, in our system and in the accounts system

Fields

Field What it means
Invoice number The key the accounts system is searched by. 21 characters maximum
AR amount The estimate, before your review edits

Status

Paid Settled

Notes

  • Complete does two things. It commits the invoice and attempts delivery in the same action, so get the amount, customer, grouping and invoice number right before you press it.
  • Pricing comes from billing setup, not from legacy rates. If a rate is missing the row stays needs review — there is no fallback and no zero price.
  • Never resend because the screen did not confirm. Search the accounts system first.
